In this document I will outline a few rules and guidelines concerning these email addresses, as they will differ slightly from your regular private email accounts. Treat these emails essentially as your business email account.

I know that some or even most of you have never worked in a business with email guidelines. That is why I decided to write out this page.

## Why should I use this email instead of my private email?

We hand out these emails to increase our professional appearance. Please keep that in mind when you communicate through this email.

When you communicate official Pais business, please use this email instead of your private email. It looks a lot more professional and serious if you have a dedicated email with the name of your organization in it. It WILL give you more credibility! Use it to your advantage! An email from paisfortworth@paismovement.com asking a high school if they can help with lunch clubs looks FAR MORE professional than if it was sent from rebornthroughchrist377@gmail.com.

Please consider the flip side too. We trust you to represent Pais, and that is why we have decided to give you this email address. This email clearly makes you part of the whole organization, so keep in mind that your actions will be tied to and reflect on the whole of Pais.

## What can I do with this email?

Your **@paismovement.com** account is a FULL Google account. You have access to all of the Googles services, like Google Docs, Sheets, Slides, Calendar, Meet, Drive, to name a few. Currently we have a couple services turned off for no particular reason (I just didn't get around to evaluate that yet since I took over), but if you need one enabled please contact media@paismovement.com.

Your account also comes with 30GB of Google Drive storage. It is shared across your Drive and GMail. If you need more space you can expand the storage at your own cost to 100GB. Contact media@paismovement.com if needed.

You can use this email to do anything that you can do with a regular gmail account too.

But - just because you CAN, does it mean you SHOULD?

## What SHOULD I do with this email?

If you're a team leader, use this email to sign up for any official Pais accounts, like team social media accounts (if applicable in your nation).

If you're staff, use this email to sign up for any professional accounts in your name. If it is for the nation, maybe consider using the nation email group. Be sure to check with your national director though.

Use this email when you do any kind of outreach to churches. Any professional contact should go through this email.

## What should I NOT do with this email?

You should never use this email to sign up for any private accounts, like your personal social media pages, or your amazon prime subscription, or your bank account. It's not like I haven't seen this before, so this needs to be said.

You shouldn't use this email to communicate on private matters.

## Why?

These email accounts are "managed accounts". That means that the domain administrator (that is me) has full access rights to manage the account. In detail, that means that I am able to restrict access to any feature, I am able to reset the password and take over the account, suspend it, and eventually delete the account.

In short, this means your account is not private. Pais will close your account and revoke your access to it when you leave the organization. If it is a department account, your successor will gain access to it.

So - please keep that in mind when you use the account. Common sense now should tell you that it is not a good idea to sign up for your paypal or bank account with that email. However, it saves us and you a lot of pain when you leave Pais and all official social media accounts are tied to that address instead of your private one.

## What about my phone?

Since this account is a full Google account, you CAN use it to sign into your Android phone, and any of the Google services on your phone. However, in the same manner as outlined above, if you use your **@paismovement.com** email to ***set up you Android phone***(as in your primary or only account), it essentially becomes a company phone. Which means the domain administrator (me) can reset it or lock it. So don't do it. Use your personal email or create one.

You are however welcome to log into any of the Google services (like Gmail or Drive) on your Android or iPhone. For example I am simultaneously signed into my [paismovement.com](http://paismovement.com) account and my other private gmail accounts on my iPhone. I use my professional account to send and receive emails on the go, share and look at files through Drive, or view our Google Analytics or administrate our other services from my phone. Just make sure you keep them separated.

## I forgot my password.

I can reset your password. Write an email to media@paismovement.com. However, don't take that as an invitation to be careless with your password. Please protect it, don't write it down in an obvious place, don't use simple passwords (in the future there will be stricter guidelines on this).

A few helpful tips:

Sign up for LastPass, it is a great tool. Make sure you read their guidelines and good practices, and you understand what you are doing.

Longer, simple passwords are safer than complex, short ones. Use a phrase with more than 10 characters. Add a number to the end. Brute force attacks (guessing the password by trying all letter combinations) are really not a thing anymore these days, so there's no benefit to adding all kinds of §$%")' into your password. Just make it longer than 8-10 characters and maybe add a number at the end. (Don't follow my example, I send out complex short passwords when I reset them, because they are auto generated and you will have to create a new one as soon as you log in anyways.)

## My Google account

Since your email is a full Google account, you have things like a profile picture, a name and a signature. Change it if you want, but it's not mandatory. But - keep in mind it is a professional business account. Maybe don't use your party picture at the beach.

## I requested a new email, but it says the link expired.

The email sing up link is valid for 24h. Please make sure you follow the steps in the email within that time. If you don't, I will need to reset the password and it causes unnecessary extra work for me. So please make sure you do your part.

## A login challenge appeared, I need to put in a phone number or verify a code

Sometimes this happens when Google is unsure if you are accessing the account rightfully. You can either add your phone and verify it, or if you don't have access to the verification method you can send an email to media@paismovement.com and I can turn off the login challenge for 10 minutes. Specify a time when you want me to do that. I work 8a-4p CDT.
